The annual audit remains essential, but it looks backwards. Between two interventions, errors repeat, ineligible expenditure accumulates, reconciliations fall behind. Continuous monitoring means watching a limited number of sensitive points all year round.
Choose a few key controls
Monitoring everything amounts to monitoring nothing. Start from the risks that matter: payments, purchases, payroll, cash, inventory, project expenditure. For each, one precise control, one test rule and one alert threshold.
Test every transaction
Accounting and operational data is extracted at regular intervals. Tests cover all transactions, not a sample: duplicates, split purchases, unusual entries, budget overruns.
Deal with exceptions
An alert has value only if someone responds to it. Each exception is assigned to an owner, explained or corrected, then closed. The resolution rate and time become management indicators.
Report regularly
A periodic dashboard gives management, the board or the donor an up-to-date view of the system. At year end, the auditor finds accounts already cleaned up and a history of the controls.
General insight. The scope of a continuous monitoring system is defined according to your risks and your systems.
